Get accurate info from the start
You know the drill – if your patient details are wrong, your invoice won’t go through smoothly. Get all the essential info upfront: name, contact details, insurance info, pre-authorisation number and date of birth. The more accurate the info, the quicker the invoicing meaning less hassle later.
Set up a pricing matrix
A pricing matrix with CCSD, Industry Standard Codes and insurer rates will be your best friend. It cuts down on human error and helps speed up the invoicing process. Plus, if you’ve already agreed rates with insurers, you won’t need to waste time digging for the correct amounts. Everything’s ready to go.
Know what insurers will (and won’t) pay
Not all insurers pay for everything and some only cover partial amounts. Understanding the limits of what each insurer will pay prevents any surprises. It’ll help you set correct rates for your services and avoid any discrepancies later when invoicing.
Communicate extra charges upfront
No one likes surprise costs. If an insurer won’t cover the full fee for a treatment or service, make sure your patients are aware of any extra charges before you start treatment. Set expectations from the start so there’s no confusion or frustration down the line and get confirmation in writing that the patient agrees.

Use practice management software
One of the best ways to streamline invoicing in private practice is to use practice management software (PMS). This helps you keep your data accurate and your invoices processed without a hitch. It takes the stress out of invoicing and helps you stay organised.
