7 steps for a smoother appointment process in private healthcare

“Our new-look practice management software offers so many benefits”, says Dean Philpott, Business Development Executive. In this blog, Dean explains how you can fill your diary, your way with ePractice Appointments.

Studies show that one of the biggest reasons why people choose private healthcare is because it’s easier to get an appointment1. The new ePractice Appointments has all the features you need to meet patients’ expectations and ensure the process runs smoothly.

This kicks off a whole new generation of ePractice which’ll set the industry standard for practice management solutions (PMS) with big performance improvements. This includes a brighter design, more intuitive user experience and loads of powerful features to help you work smarter and save time.

Whatever ePractice plan you’re on, you’ll see the whole system transform as we roll-out new features – you can get an early taster by watching a demo. Right now, we want to explain how to make the most of ePractice to manage diaries, organise clinic sessions and book appointments.

Here’s our seven steps for a smoother appointment booking process in private healthcare

  1. Set up your diary, your way
Once you’ve completed the initial set up, you can set up your diary in just a few clicks to show when you’re available. It’s easy to make changes too, such as blocking out time in advance for admin, meetings or holidays, selecting a different location and adding notes.
  2. Add relevant practitioner diaries
Add the diaries for all the practitioners that belong to your practice so you can see their availability in one place. The scalable technology means you have the capacity to add more practitioners as your business grows.
  3. Personalise
To make scheduling appointments a breeze, you can create different appointment types based on industry standard codes with suggested durations. We’ve pre-loaded a list of the most common appointment types but you’re free to edit, create your own, colour-code appointments and add important instructions.
  4. Manage clinic sessions
Manage your working week by creating one-off and recurring clinic sessions at particular locations and specify appointment types and durations for that session. With scheduler view, you can see the sessions for that week or a specific period.
  5. Book, reschedule or cancel appointments
When patients make an enquiry, you can quickly find and book a convenient appointment slot and add helpful notes and instructions. It’s just as easy to reschedule or cancel an appointment if the situation changes, freeing up the slot for someone else straight away to minimise downtime.
  6. Keep in touch with patients
Send appointment confirmations by email or text to reduce “did not attends” and include anything else they might need to know in advance, such as directions or what to bring to the consultation. This’ll help you ensure your sessions run smoothly, making a good impression on patients.
  7. Manage the rest of the patient journey
You can seamlessly manage every aspect of the patient’s journey in one place, from appointments to invoicing and allocating payments with our integrated PMS. This ensures efficiency, consistency and accuracy, which is good for your patients, your team and your business.

We’re adding more features to ePractice so watch this space – if you want to explore Appointments for yourself today, why not watch a demo or speak to one of our Business Development team.
