The PPR

The Basic service

The PPR Basic service is available to all hospitals and allows you to:

  • Search a central database of all practitioners who hold a PPR profile and map practitioners you have granted practising privileges – they can then be used as the Controlling Specialist on your electronic invoices
  • See basic practitioner information
    • Name
    • Unique Healthcode reference number
    • Headline specialty/specialties
    • Regulatory/professional body registration date and membership reference number
    • Private practice information for your hospital:
      • Start date(s)
      • Type of care provided
      • Patients treated
      • Practice hours
  • See details of overdue appraisal dates, out of date medical indemnity information and GMC warnings

Landing page

Click the PPR tab to see the Specialist Directory. At the top of the screen Active Specialists indicates the number of practitioners with an active PPR profile currently listed as working with you.

Alerts

The Alerts section at the top of the landing page screen shows icons representing overdue appraisal dates, out of date medical indemnity information and GMC warnings with counts of your practitioners falling in these categories.

  • Tick one or more of the boxes next to these counts and click Search
  • A list of practitioners meeting the criteria are shown on the left-hand side of the screen – these are in alphabetical order (A-Z as standard, but you can alter this to be Z-A) with 25 names to each viewing pane
  • Matching icons are used against the names including those of any additional criteria
  • Use the scroll bar to move down the list and the navigation tools at the bottom to move to the next viewing pane
  • Highlight a name to view details on the right-hand side of the screen – see Viewing practitioner details for more information
  • To get back to the landing page click Advanced Search in the top right of the screen, then Clear Search

Looking for a practitioner

  • On the landing page use the search features at the top of the page using as many search fields as you want to ensure you find the right person – the options available are:
    • Last name or first name
    • Profession
    • Specialty
    • Sub-specialty
    • Your refence number for them
    • Their unique regulatory or professional body number
  • Click Search
  • Highlight the required practitioner to view details on the right-hand side – see Viewing practitioner details for more information

Mapping a practitioner

To send invoices electronically using the Clearing Service the practitioner listed as the Controlling Specialist must be mapped to your hospital.

  • On the landing page use the search features at the top of the page – the options available are:
    • Last name or first name
  • Click Search 
    • Any practitioners matching your criteria will be shown on the left-hand side of the screen and are already mapped
    • If there are matches but not be the person you are looking for, click Add Specialist at the top of the list OR
    • If no practitioners match the search criteria entered you will see a pop-up box confirming this – click the Click here link
  • The Add Specialist pop-up box will appear – the first or last name you used in your search will be pre-populated
  • Add as many options as you can to narrow the search and click Search – this will look for all the practitioners on our system and may take some time
  • Practitioners matching your criteria will be shown in the Search Result(s) box – click the one you want to add and then click Add Specialist
  • The Add Practice box will appear and some fields will already be pre-populated
    • The SP Number is the practitioner’s unique Healthcode reference number
    • The Reg/Body Reference is the registration number of their regulatory/professional body
    • The Hospital/Practice Name will be your site name
  • Add information:
    • A unique Facility Number – this is the only mandatory field and must be set by you to allow electronic invoicing for hospital services where the practitioner is the Controlling Specialist
    • The following can be completed by you if you know the details or you can leave this for the practitioner to complete – they will get an email asking them to log into their profile and complete the missing information:
      • Start Date – this is the date the practitioner was granted practising privileges or first saw a patient at your hospital
      • End Date – this should be left blank
      • Patients Treated – the age groups of patients that can be seen at your hospital
      • Type of Care – the care settings
      • Practice Hours – the practitioner’s availability at your hospital
  • Click OK and the practitioner’s details will appear on the screen
  • If you have more practitioners to add click Add Specialist at the top of the screen and repeat these steps
  • To get back to the landing page click Advanced Search in the top right of the screen, then Clear Search

Viewing practitioner details

Look for a practitioner using the steps shown in Looking for a practitioner. After highlighting the chosen practitioner their details will appear on the right-hand viewing pane. The following information can be viewed:

  • Profession(s)
  • Specialty(-ies)
  • Regulatory Body Certified – clicking on this will show the practitioner’s regulatory/professional body(-ies), their registration number and the date of registration
  • Facility Reference – this is the unique reference number assigned by your hospital to allow electronic invoicing for hospital services where the practitioner is the Controlling Specialist
  • Practice – this lists your hospital and the date the practitioner started practising at the site; clicking on the box opens a pop-up showing the practice details currently listed
  • View Profile – this is found on the top right and gives you access to basic demographic information from the practitioner’s profile; click Back at the top right of the screen to get back to your Specialist Directory

To get back to the landing page click Advanced Search in the top right of the screen, then Clear Search.

Updating practice details

  • Find the practitioner by completing the steps shown in Looking for a practitioner
  • Click on the Practice box to open the popup showing the practice details currently listed
  • You can update the following if needed:
    • Patients Treated – add or remove options from the drop-down menu and click OK
    • Type of Care – add or remove options from the drop-down menu and click OK
    • Practice Hours – update days, sessions and frequency
  • Click Update
  • Click Save on the bottom right of the screen to save the changes
  • To get back to the landing page click Advanced Search in the top right of the screen, then Clear Search

The practitioner will receive an email letting them know you’ve altered their practice information. They can, if they choose to, update this again.

Deleting a Facility Reference

  • Find the practitioner by completing the steps shown in Looking for a practitioner
  • You can delete a reference by moving your mouse over the box and clicking the red cross that appears
  • Click Save on the bottom right of the screen
  • To get back to the original page click Advanced Search in the top right of the screen, then Clear Search

Adding a Facility Reference

  • Find the practitioner by completing the steps shown in Looking for a practitioner
  • Click Add Facility Reference on the right-hand side of the screen
  • Add a unique reference into the box, following any required hospital numbering conventions – if the reference is already in use you will see a warning message
  • Click Add when done
  • Click Save on the bottom right of the screen
  • To get back to the landing page click Advanced Search in the top right of the screen, then Clear Search

Removing a practitioner

You should remove a practitioner from your list if they no longer see patients at your hospital. Before doing anything first make sure that there aren’t any more electronic invoices to be submitted showing them as the Controlling Specialist – if you remove the practitioner and then try to submit, the invoice will fail validation.

  • Find the practitioner by completing the steps shown in Looking for a practitioner
  • Click on the Practice box to open the popup showing the practice details currently listed
  • Add an End Date
  • Click Update – the Practice information will change to show the start and end dates
  • Click Save on the bottom right of the screen – both the Facility Reference and Practice information will be removed from the profile and you’ll no longer find the practitioner in your directory
  • To get back to the landing page click Advanced Search in the top right of the screen, then Clear Search
