For practitioners, as long as you're using software that's been integrated and have a PPR profile, you'll soon be able to subscribe to ICE through your Healthcode Account - only transactional charges will be payable - and update your software settings to begin creating and publishing your sessions.

For practitioners, there's currently no charge to subscribe. What's more, until Q3 2024 we're also waiving the transactional fees so you can try it completely free. After that time, it'll be between 15-25 pence for each completed appointment - you won't be charged if the patient cancels or doesn't turn up. Rescheduled appointments will be charged when they're completed.

It's slightly different for practices and clinics if you don't own the diaries of the practitioners that use your facility. To see those diaries you'll need to subscribe, at a cost of £100 per month. Any transactional charges will be paid by the practitioner.

You'll need to contact your practice management/patient administration system supplier to see whether the diary has been integrated with ICE. If not simply ask them to get in contact with us. If it is, great.

You must also have a valid profile on The PPR, making sure your details, including your profession, specialties, subspecialties, regulatory/professional body registration number and the hospitals and clinics you work at are correct. As some booking portals may use additional information from your profile it's a good idea to make sure it's fully complete and up to date.

We use The PPR as it's a single source of information about you, what you do and where you do it. ICE uses this information to help patients and organisations search for practitioners with specific specialties and locations.

Simply contact your software supplier who'll tell you where to add the key into your system. Just copy and paste - it's case sensitive and you'll need to make sure you don't add any extra spaces at the beginning or end of any of the fields.

You'll also be given details on how to update your settings and configurations and you'll need to do this before you can start using ICE. The system will then automatically check that your credentials are working correctly and once these have been accepted you can publish your availability.

Once you've got your credentials and have set up your system you should be given the option to publish any new availability you create - you'll now be ready to receive bookings. When you do this for the first time, it could take up to 24 hours for it to be visible but this'll be instant in future.

Your system should notify you when new bookings are received and your diary should automatically update.

You and the hospital(s) where you're seeing the patients will see the full appointment details. All other booking channels (integrators) will only see your availability. Whoever made the original booking (e.g. the insurer) will also be able to check the status of the appointment to find out if the patient attended, rearranged or cancelled.

You're in control of your diary - you'll have the option to block one or more of the integrators from accessing your availability, e.g. you don't want a particular insurer booking patients into your Friday morning session.

You can only publish availability for locations that are listed on your PPR profile. Login and check your profile adding any missing locations - don't forget to add the age groups of the patients you treat and the type of care provided. You'll need to wait for 24 hours for your system to update before trying again.

If you can't find the location you want to add e.g. your private consulting rooms, scroll to the bottom of the drop-down list and choose Other and enter all the necessary details. Our Registrations team will need to allocate a new treatment location ID (the HP number) which can take a few days. Once this has been added to your PPR - you'll know because you can add your contact details - you'll be able to publish your availability for this location.
